Audio Transcription & Meeting Minutes

AI-School offers powerful transcription capabilities to convert audio to text using OpenAI's realtime API. The transcription happens live, allowing you to immediately check if the text is displayed correctly. Additionally, you can automatically generate meeting minutes based on the transcription.

On the start screen of the transcription module, you can choose between a new realtime recording or uploading an existing audio file.

Providing Audio

There are two ways to provide audio for transcription:

Record Directly in AI-School

Click the large "Start Recording" button to start a realtime recording. Before the recording begins, a dialog window will appear with recording settings:

When starting a recording, you can configure various settings:

  1. Recording Type: Choose the recording type to optimize audio quality:

    • Private recording: For one person close to the microphone (podcast, personal notes)
    • Meeting (default): For multiple speakers in a room
    • Lecture or presentation: For one main speaker with possible interaction

    Based on your choice, the appropriate audio filter is applied:

    • Near-field filter for private recordings
    • No filter for meetings (to capture all speakers well)
    • Far-field filter for lectures and presentations
  2. Record Audio: Choose whether to save the audio during transcription

    • Yes: The audio will be saved to Firebase Storage
    • No: Only the transcription text will be saved
  3. Audio Upload Interval (only if you choose to record audio):

    • Set the interval (1-15 minutes) at which audio is saved
    • Default: 5 minutes
    • Shorter intervals (e.g., 1-2 min): More audio files, but safer in case of computer crashes
    • Longer intervals (e.g., 10-15 min): Fewer files, but risk of loss in case of technical problems

Use Existing Audio File

You can also upload a previously recorded audio file to AI-School. Click the "Select audio file" button and choose a file. Supported formats are MP3, WAV, M4A, and WebM.

Live Transcription

During transcription, AI-School uses OpenAI's realtime API. This means you can read live whether the transcription is displayed correctly.

Note: If the transcription does not match the spoken text 100%:

  • Speak more clearly and articulate better
  • Check that you are using a good microphone
  • Ensure the microphone is close enough to the speaker
  • Choose the correct recording type in the settings

Meeting Minutes

After recording and transcription, you can automatically generate meeting minutes. Switch to the "Meeting Minutes" tab and click the "Generate Meeting Minutes" button.

The meeting minutes are automatically generated based on the transcription and the active prompt.

Manage Prompts

You can fully customize and manage prompts for meeting minutes. Click the "Configure Prompt" button to open the prompt dialog.

Default Prompts

AI-School offers two default prompts:

  1. Standard meeting: Creates structured meeting minutes with general sections
  2. With speaker recognition: Creates meeting minutes with speaker recognition and assigns each speaker a unique number

Custom Prompts

You can also create your own custom prompts:

  • Click "Add custom prompt"
  • Give the prompt a name
  • Write the instructions for how the meeting minutes should be generated
  • Save the prompt

All custom prompts are saved in your account and are immediately available for future transcriptions.

Manage History

You can view and manage the history of previous transcriptions via the "History" button.

In the history you can:

  • Search for transcriptions by title, date, or content
  • Edit titles by clicking the pencil icon
  • Load transcriptions to view or edit them again
  • Delete transcriptions you no longer need
  • Play audio if the transcription contains audio recordings

Using the Transcription

You can use the transcription in various ways:

  • Copy: Copy the transcription using the copy button
  • Export to PDF: Download the transcription as a PDF document
  • Use in chat: Paste the transcription in a chat to ask questions or have analyses created
  • Export meeting minutes: Export the meeting minutes to PDF or Word
