Leaving the App

When a person temporarily leaves the app, it is advisable to set the account to inactive.

At some point, an account may also need to be permanently deleted. According to the GDPR, all related personal data must also be deleted.

Removing an Employee

When removing an employee, there are a few options:

  • The employee has never logged in and therefore has no account
  • The employee has an account and is placed at multiple schools
  • The employee has an account and is placed at only 1 school

Employee Has No Account

If the employee has no account, the employee record will be deleted. Since there is no account and no data, no further action is needed.

Employee Has an Account and Is Placed at Multiple Schools

When the employee is removed from a school, that school will be deleted from the linked schools, and the employee will disappear from the overview of employees at that school. However, the record remains and the related account as well. The employee is still active at one or more schools.

Employee Has an Account and Is Placed at Only 1 School

When the employee is removed from the only school where they are active, the employee record will be set to inactive. The account and all data remain, but the employee can no longer log in. To permanently remove the employee, the account must be deleted.

Removing a Student

When removing a student, there are a few options:

  • The student has never logged in and therefore has no account
  • The student has an account and is placed in multiple groups
  • The student has an account and is placed in only 1 group

Student Has No Account

If the student has no account, the student record will be deleted. Since there is no account and no data, no further action is needed.

Student Has an Account and Is Placed in Multiple Groups

When the student is removed from a group, that group will be deleted from the linked groups, and the student will disappear from the overview of students in that group. However, the record remains and the related account as well. The student is still active in one or more groups.

Student Has an Account and Is Placed in Only 1 School

When the student is removed from the only group where they are active, the student record will be set to inactive. The account and all data remain, but the student can no longer log in. To permanently remove the student, the account must be deleted.

Deleting an Account

When deleting an account, the following steps are automatically taken:

  • Chats and chat messages are deleted
  • Files and related documents are deleted
  • The employee or student record is deleted
  • The account record is permanently deleted from Firebase

End of Subscription

If the environment must be permanently deleted in connection with the end of the subscription, AI-School will take the following steps:

  • All accounts in the environment are deleted
  • The entire database of the environment is deleted

Step 1 ensures that all personal data is permanently deleted. Step 2 ensures that all schools, groups, and settings are deleted.
